Restaurant POS system in the UAE: what to look for

A restaurant till does far more than take money. It routes orders to the kitchen, keeps tables in step and closes the night with numbers your accountant can use. This guide covers what a restaurant in the UAE should expect from it.

A restaurant POS system in the UAE has to handle a busy floor, a kitchen with several stations, delivery riders at the door and a VAT return every quarter. Most systems can ring up a sale. Fewer can do all of that cleanly on a Friday night in Dubai Marina or a lunch rush in Abu Dhabi. Here is how to tell the difference.

One till for dine-in, takeaway and delivery

Most restaurants now sell through several channels at once. A guest sits down, another orders at the counter to take away, and a rider waits for a delivery bag. Each order type has its own flow, but they should all land on one till and one kitchen.

  • Dine-in: tables on a floor plan, one tab per party, courses held and fired, and bills split by seat or by item.
  • Takeaway: fast counter orders with a token or order number, and a screen that tells guests when food is ready.
  • Delivery: the customer’s address and phone on the order, assigned to a rider, and cash on delivery reconciled at the end of the day.

Ask how orders from delivery platforms arrive. Some systems connect directly; others need a tablet per platform on the counter. Direct connections depend on each platform’s partner programme, so ask what is live for your account today rather than what is planned.

Kitchen display by station

Paper tickets work until the kitchen gets busy. Then they get lost, stained or read wrongly. A kitchen display system shows each order on a screen, and the best setups split one order across stations. The burger goes to the grill, the salad to the cold section and the juice to the bar, all from one ticket.

Check that modifiers and allergy notes stand out clearly, that each ticket shows a timer from the moment it was sent, and that the pass can see what is still cooking across every station. Kitchen printers should still be an option for stations that prefer paper.

QR menu and waiter handhelds

Two tools speed up service on the floor. A QR menu lets guests scan a code on the table, browse in their own language and send the order straight to the kitchen against the right table. A waiter handheld lets staff take the order at the table instead of walking back to a fixed terminal.

Both should read the same menu, prices and availability as the main till. If an item sells out, it should disappear everywhere at once. Ask whether the QR menu works in Arabic and English, and whether it needs an app download. Guests rarely want one.

Recipe costing and stock

Food cost is where many restaurants quietly lose margin. A good restaurant POS links each dish to a recipe. When the dish is sold, the ingredients come out of stock by the recipe quantities. That lets you compare what you should have on the shelf with what is actually there, and it shows the real cost of each plate as supplier prices change.

Ask whether the system supports recipes with sub-recipes, such as a sauce used in several dishes, and whether waste can be logged with a reason. Our guide to recipe costing covers the method in more detail.

The Z report, VAT and the books

Every night should end the same way: count the drawer blind, compare it to the expected cash, record any variance and print a numbered Z report. Z numbers should never skip. A gap suggests a missing day, and the FTA or an auditor will ask about it.

The Z report should then feed the books. Net sales, VAT, cash, card and variances should post to the ledger, and the sum of the period’s Z reports should match the sales on your VAT-201 return. Check that every tax invoice shows your TRN and the VAT in AED, and that service charges and discounts are treated correctly for VAT.

Matching the restaurant POS system to your format

The same foundations apply to every restaurant in the UAE, but the priorities change with the format.

FormatPrioritiesWatch out for
Fine diningCourses, sections, split-by-seat bills, reservationsHandhelds that slow down long orders

What matters most by restaurant format

A cloud kitchen in Sharjah running three brands needs separate menus that share one stock of ingredients. A fine dining room needs a floor plan and bills that split cleanly by seat. Make sure the system you choose handles your format without workarounds.

EXO NODES runs restaurants on one till, kitchen screens by station, a QR menu, a waiter handheld and recipe stock, with each Z report posting to the books. Integrated card-terminal payments are rolling out; today payment types are recorded against each sale.

Questions owners ask

Do I need a kitchen display, or are printers enough?

Printers work for small kitchens. Screens help once you have several stations or a busy pass, because they show timers and late orders. Many kitchens use both: screens for the hot line and a printer for the bar.

Can guests pay through the QR menu?

It depends on the system and the plan. Ask the vendor exactly which payment methods work through the QR menu today, and how those payments appear on the Z report.

What should a restaurant POS in Dubai cost?

Compare written quotes per location, before VAT, for your real setup: tills, handhelds, kitchen screens and logins. Our pricing page lists what each EXO NODES plan includes.

Will the till keep working if the internet drops?

It should. Ask whether orders still reach the kitchen screens offline and how invoice numbers stay in sequence, then test it during your demo.
