Café POS system in Dubai: a guide for coffee shops

A coffee shop lives or dies by the morning queue. The till has to keep up with oat milk, extra shots and regulars who want their usual. This guide covers what a café in Dubai or anywhere in the UAE should look for.

A cafe POS system in Dubai has a different job from a full restaurant till. There are fewer tables and more takeaway cups. Orders are small but endlessly customised. Many customers come every day. The right system makes a flat white with oat milk and an extra shot take two taps, not six, and it remembers who your regulars are.

Speed at the counter comes first

At peak time, every extra tap on the screen adds to the queue. When you try a café till, time yourself ringing up a typical morning order. Watch for these points:

  • Your best sellers on the first screen, without scrolling.
  • A clear order number or name for each cup, printed or shown on screen.
  • Quick payment, with cash, card and other types recorded in one step.
  • Hold and recall for an order while a customer finds their wallet.
  • A receipt that prints fast, or is skipped when the customer does not want one, while the tax invoice is still recorded.

The bar also needs to see orders as they come in. In a small café, a kitchen printer or one screen at the espresso machine is usually enough. It should show every modifier clearly, so the barista never has to ask.

Modifiers: milk, size, shots and syrups

Coffee is the most customised order on any menu. A good coffee shop POS in the UAE handles modifiers as groups with rules, not as a long list of separate items.

GroupExample optionsRule to set
SizeSmall, medium, largeChoose exactly one; price changes by size
MilkFull fat, skimmed, oat, almondChoose one; plant milks add a charge
ShotsSingle, double, extra shotOptional; each extra shot adds a charge
SyrupVanilla, caramel, hazelnutOptional; allow more than one
TemperatureIced, extra hotOptional; no charge

Set the rules once in the back office and every till, screen and online channel follows them. Then check that the VAT on each modifier charge is included in the tax invoice, with your TRN and the VAT shown in AED.

Loyalty for regulars

Cafés depend on people who come back every morning. A loyalty programme rewards that habit and tells you who your regulars are. It works best when it is invisible at the counter: the customer shows a code or gives a phone number, points are added, and the queue keeps moving.

Check that points work at every branch if you plan to open a second café, and that each earn and redeem is kept as its own record. Paper stamp cards are free, but they get lost, they are easy to fake and they tell you nothing about who your customers are.

QR menus and online orders

Many Dubai coffee shops now take orders away from the counter. A QR code on the table lets seated guests browse the menu on their phone. Online ordering lets office customers order ahead and collect without queuing.

The important point is that these orders join the same queue as the counter. They should appear on the same screen or printer at the bar, use the same menu and modifiers, and close into the same Z report at the end of the day. If online orders arrive on a separate tablet, someone has to retype them, and mistakes follow.

Check the language too. Guests in Dubai read menus in many languages, but Arabic and English are the two to insist on. Ask whether the guest can switch language on the QR menu without leaving the page, and whether drink names and modifier options are translated as well as the categories.

Plan for the morning rush. If online orders for collection keep arriving while the counter queue is long, the bar can fall behind fast. Decide how many minutes ahead customers can order, and make sure the ticket shows the collection name clearly so cups do not go to the wrong person.

A small hardware setup for a café POS system

Most cafés do not need much hardware. A small counter often runs on four pieces:

  • A tablet POS with printer (EXN-H1602) or a 15.6-inch POS terminal (EXN-H1101) at the counter.
  • An 80mm kitchen cloud printer (EXN-H1202) at the bar for drink tickets.
  • A cash drawer (EXN-H1301).
  • Optionally, a kitchen display (EXN-H1501) if the bar prefers a screen to paper.

Card payments are a separate decision. Integrated card-terminal payments are rolling out in EXO NODES; today the till records card, cash and other payment types against each sale, alongside your bank’s own terminal.

Starting out on the free Bites plan

A new café has enough costs without a monthly software bill. EXO NODES offers a free plan called Bites for a single location. It includes one POS terminal, one kitchen screen, up to two kitchen printers and one user, with your menu, modifiers and kitchen tickets, basic stock by item quantity, UAE VAT in Arabic and English, and 50 PINT AE-ready e-invoices a month. Reports cover the last 30 days, view only.

Bites does not include loyalty, online ordering or ordering through the QR menu; on Bites the QR menu is for viewing only. Those start on the Core plan at AED 199 per location a month before VAT, which also adds a second till, waiter handhelds, recipes and the Manager App. Start free, then move up when the queue tells you to.

Questions owners ask

Is a café POS different from a restaurant POS?

The foundations are the same: tax invoices, a kitchen or bar ticket, and a Z report. A café puts more weight on fast modifiers, loyalty and takeaway, and less on table plans and courses.

Can I really run a coffee shop on a free plan?

A single counter with one till can, yes. Once you want loyalty, online orders, a second till or full reporting history, you will need a paid plan.

Does the till still work if the Wi-Fi drops?

The EXO NODES POS keeps selling offline and syncs each sale when the connection returns, with invoice numbers kept in sequence.
