WhatsApp reminders for restaurants and salons: what to send

In the UAE, a booking reminder on WhatsApp is usually read; the same reminder by email often is not. That is exactly why so many restaurants and salons over-send on WhatsApp, until their customers mute the business number. Three messages, sent at the right time, do the job.

No-shows cost a restaurant a table at its busiest hour and a salon a chair it cannot resell at short notice. Reminders help, and the channel your customers actually read matters. For most people in the UAE that is WhatsApp: it arrives in a private chat, next to messages from family and friends, not in a folder of promotions.

The risk is the other side of the same coin. Because the message lands somewhere personal, every unnecessary one is noticed. Send too many and the customer mutes or blocks you, and then even the reminder they needed never arrives.

The three messages worth sending

  1. The confirmation, straight after booking. Business name, date, time, the table or service, and a link to change or cancel. Nothing else: no offers, no menu, no links to social media. This is the message the customer scrolls back to when they forget the time.
  2. The reminder, the evening before. Date, time, business name and the change-or-cancel link. Send it in English and Arabic so nobody has to read it in their second language at the end of a working day.
  3. The thank-you, shortly after the visit. A short thank-you, one link to leave a review if you ask for reviews, and, where the service naturally repeats, a link to book the next visit. Leave out discount codes: one after every visit teaches customers to wait for them.

When to send them

Timing matters as much as wording. The evening before, roughly between 6 pm and 8 pm, works for most bookings: the working day is over and evening plans are not yet fixed. A reminder on the morning of the visit can be too late to fill a cancelled slot, and one late at night is an intrusion.

Send the thank-you while the visit is fresh, within an hour or so of the bill closing, rather than the next day. For an early-morning booking, move the reminder to the previous afternoon; for a same-day booking, the confirmation is the reminder.

What good reminder copy looks like

One message, one thought, one action, both languages, with the business name first. Compare these two:

Message
Too muchHi! It’s [Business] and we can’t wait to see you tomorrow at 3 pm! We have amazing offers this month, check our Instagram! If you need to reschedule please let us know. See you soon!
Better[Business]: reminder of your appointment tomorrow, Thursday, at 3 pm. To change it: [link]. Followed by the same sentence in Arabic.
Two versions of the same reminder

The first one asks the reader to take in four things and offers three actions. The second gives them the one fact they need and the one action they might take.

The message to avoid

The broadcast that quietly costs you customers is the untargeted promotion: “Come and try our new menu!” sent to every number you have, because the numbers are there.

  • Consent is not the same. A customer who gave you their number to book a table agreed to hear about that booking, not to receive marketing. WhatsApp’s business rules expect you to have permission before you message people.
  • It is the costliest kind of message. WhatsApp charges businesses for messages sent outside a conversation the customer started, and marketing messages generally cost more than booking updates. Check the current WhatsApp Business pricing for the UAE before you plan a campaign.
  • You can lose the channel. One unwelcome broadcast can get your number blocked, and a blocked number cannot send the next booking reminder either.

If you do want to send offers, ask for that separately, with its own tick box at booking, keep it occasional, and make stopping easy.

A short checklist

  • Three booking messages: confirmation, evening-before reminder, thank-you.
  • Every message in English and Arabic, business name first.
  • One action per message: change, cancel, review or rebook.
  • Marketing only with separate consent, and rarely.
  • Look at your no-show rate before and after, so you know whether it works for your customers.
